Users and groups

Inviting users, assigning roles, and controlling group file access.

Invite a user

  1. Open Operations → Users.
  2. Select Add user.
  3. Enter the e-mail address and choose Admin or Member.
  4. Select Send invite.

The normal flow sends a link that lets the recipient set a password. If an existing account is not yet attached to an organization, Persate asks for confirmation before sending a join invitation.

The optional manual-password flow creates the user immediately and requires at least 12 characters. Use it only when the organization's approved identity procedure requires it; the administrator becomes responsible for delivering the initial credential securely.

Pending invitations

For a pending invitation, an administrator can:

  • Resend invite — issues another invitation message for the same pending member;
  • Revoke invite — invalidates the pending invitation.

Revoking an invitation does not delete an unrelated existing identity. A recipient whose link has expired must request a new invite from an administrator.

Change a role or remove a user

Select a user and open Edit User to change between Admin and Member. Open Remove User to remove the user from the organization.

Removal is a destructive administrative action and requires confirmation. Before removal, transfer ownership or export work that must be retained, and review the user's group access. Do not use role removal as a substitute for revoking an active session when immediate sign-out is required.

Create and manage a group

  1. Open Groups & Permissions.
  2. Select Create New Group and provide its name and description.
  3. Open the group detail page.
  4. Use Add member to group to select organization users.
  5. Use the file picker to share a Repository file with the group.

The group detail page lists members and files. Remove Member removes group membership. Remove File Access updates that file's audience so the group no longer receives access through this assignment.

Deleting a group requires confirmation and cannot be undone. Review its file assignments and Lab assignments first. Deleting a group does not imply deletion of every underlying file.

Access troubleshooting

  • User cannot see a shared file — confirm active organization membership, group membership, file audience, and the Repository entitlement.
  • User cannot see a Lab — confirm the enabled Lab assignment for the group and all prerequisite entitlements.
  • User still sees an old role — refresh the session or sign in again.
  • Mutation failed — reload the current list before retrying so the action is applied to the latest membership state.
